Small offices can compress this; larger ones should stretch it. The order matters more than the exact weeks.

6 weeks out: lock in the basics

• Read both leases. Check your move-out date, the new lease start date and any "make good" clause at the old premises (for example removing signage, patching walls or removing cabling you installed).
• Order internet and phone services for the new site now. Business internet and number porting can take weeks. This is the most common reason office relocations slip, and it has nothing to do with the movers.
• Pick one move coordinator. One person owns the plan and is the single contact for the office movers, the building managers and IT.
• Start an inventory. Walk the office and list desks, chairs, cabinets, meeting tables, kitchen appliances, printers, screens and archive boxes. Note anything heavy, oversized or fragile.

4 weeks out: get quotes and book access

• Get written quotes from office movers. Send each one the same inventory, both addresses, floor levels, lift and stair details and your preferred moving window, so you can compare like for like.
• Contact both building managers. Ask about permitted moving hours, goods lift bookings, loading dock rules, truck height limits in car parks, floor and wall protection requirements, and whether they want a certificate of currency for the mover's insurance.
• Decide what isn't coming. An office move is the cheapest time to sell, donate or dispose of old furniture. Every item you don't move is time you don't pay for.
• Draw the new floor plan. Number every desk position and room.

2 weeks out: label, brief and confirm

• Label everything with its destination, not its origin. "Room 3, Desk 7" is useful at the new site; "Sarah's stuff" is not.
• Brief staff. Tell them what to pack themselves (personal items, desk drawers), what to take home (laptops, chargers, anything sensitive) and when the office closes.
